Position Summary

The University of Alabama at Birmingham, Ophthalmology Department, is in search of a Program Coordinator II to join their team.

General Responsibilities

  • Under minimal supervision, coordinates administrative, personnel and logistical support for a defined department program (s), often of a large and/or complex nature.

  • Carries out established program objectives and directives.

  • Follows established guidelines or protocols.

  • Determines the best approach to accomplish assignments.

  • May participate in program planning and in setting program objectives.

  • May supervise support staff.

  • May act as a communication liaison and special events planner.

  • Interfaces with outside resources such as volunteers, alumni, patients, other professionals in a defined field or with continuing education students.

  • May be responsible for adherence to program budget and/or other fiscal duties.

  • May assist with grant and contract preparation and submission.

  • May handle data management.

Key Duties & Responsibilities

  1. Operational Support: Coordinate administrative and operational support to department's clinical research unit (CRU). Support the Director for Clinical Research with scheduling and meeting coordination. Answer general inquiries, direct study specific calls, and manage the CRU calendar. Responsible for mail distribution/sorting, facilities requests, and package deliveries.

  2. Fiscal Administrative Support: Assist with purchasing, payment requests, vendor coordination, pcard reconciliation, inventory management, vendor coordination, and service contracts for faculty, staff, and residents. Process payments for participant parking, phlebotomy fees, interdepartmental eye exams, and other internal billing within the CRU.

  3. Event Coordination: Assist with event planning and logistics. Including catering orders, travel coordination, creation of support documentation, management of registration and attendance tracking, scheduling, room setup, and materials preparation.

  4. Onboarding Support: Assist in the onboarding process for new clinical faculty and fellows. Administrative support in the credentialing/privileges process. Tracking of support documentation sent to MDSO. Enrollment of physicians in liability insurance coverage. Coordinate communications amongst relevant parties in the clinical onboarding process.

  5. Perform other duties as assigned.

Hourly Range: $18.35- $ 29.80

Qualifications

Bachelor's degree in a related field and one (1) year of related experience required. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
