Description
Responsible for administratively managing a University department under the general direction of a functional Program Director or under the auspices of a Program Advising Committee and according to an established program plan. May participate in the development of program objectives and is responsible for achieving objectives within defined parameters set by University and/or department policies and procedures or technical principles. May require fiscal management of grants and other funds. May manage multiple programs. Requires the use of independent judgment to determine the best approach to accomplish objectives established in the program plan. May supervise staff as needed.
Manage HR and Financial operations for the GBS doctoral program; oversee student on-boarding and off-boarding for all themes; ensure all hire documents are processed in a timely manner; monitor graduating students and transfer by university deadlines. Collaborate with departments to manage student funding and ensure graduate student appointments are processed in a timely manner; assist with HR document approvals; monitor payroll default account and update funding each month; reconcile stipends that post to payroll default account.
Organize and enter trainee tuition payments each term; maintain Trainee Funding Database; follow up with departments on account and appointment changes. Monitor GBS theme accounts and approve expenditures to ensure Themes stay within allotted budgets; reconcile P-card charges for the unit; prepare and send quarterly invoices to Hudson Alpha Southern Research and deposit funds received; provide monthly account reconciliation to GBS Program Director. Attend GBS weekly staff meetings and report action items to Finance Team; assist with GBS events including, but not limited to Recruitment Weekends, Orientation, and Annual Research Symposium.
Salary Range: $43,890 - $57,000
Qualifications
Bachelor's degree in a related field and two (2) years of related experience required. Work experience may NOT substitute for education requirement.
