Description

The University of Alabama at Birmingham (UAB) seeks an ASSOCIATE DIRECTOR OF FACULTY AFFAIRS to administer the Faculty Success System (FSS) Platform by managing system configurations, data integrity, user access, and custom reporting. Position will serve in a lead role to develop and implement a new FSS at UAB. Serve as the primary technical point of contact to troubleshoot workflow and system issues and guide departmental users through platform navigation. Provide end-to-end oversight for faculty review and promotion cycles at the Provost Office/faculty Affairs level, ensuring all documentation algins with university RPT procedures, compliance mandates, and strict confidentiality standards. Identify and implement ongoing process and system improvements to enhance efficiency and user experience.

RESPONSIBILITIES:

  • Conduct Training and User Support: Coordinate and conduct training for departmental staff and faculty on the use of the UAB Faculty Success System (FSS), including workflow processes, document submission, and system navigation. Assist with developing and presenting training materials and user how-to-guides, in addition to providing individual support sessions as needed to ensure departments can effectively utilize the system.

  • Post-Tenure Review Process: Build out new processes and forms in the Faculty Success System (FSS) for Provost-level review, establishing process workflows, security, and permissions in system for units to input and/or submit faculty post-tenure review packets (or dossiers). Work with Provost Office team to establish process for faculty post-tenure reviews. Provide ongoing oversight of post-tenure reviews. Provide ongoing oversight and coordination of post-tenure reviews. Manage faculty performance improvement plans (PIPs) submitted for approval.
  • Annual Promotion and Tenure Process: Partner with Review, Promotion, and Tenure Liaisons, and Assistant/Associate Deans for faculty affairs in each academic unit to schedule meetings, orient new admins and liaisons, edit reports and transmit them to the Provost and President. Serve as liaison between Provost office and the units regarding questions that arise regarding promotion and tenure reviews. Conduct tracking and analysis of outcomes/metrics associated with the tenure, promotion, and other processes handled by the Faculty Affairs Office.
  • Academic Credentialing: Ensure that each academic unit has a documented process for the academic credentialing of its faculty and credentialed course instructors (anyone serving as Instructor of Record). Monitor compliance with institutional policies, vetting academic accreditation standards and audit requirements. Manage monitoring activities, periodic audits, and repository systems or databases within the Provost Office related to forms, transcripts, and other academic records. Analyze system data to identify trends, recommend process improvements, and support executive decisions for the Faculty Success System. Generate tailored analytics and evaluation reports, while maintaining highly accurate database records regarding faculty promotions, appointments, and tenure workflow reporting. Maintain secure records of all PNT submissions, decisions, and outcomes; ensure compliance with records retention requirements and other university standards for handling PNT files. Manage other Faculty Affairs projects and initiatives as needed. Coordinate web page content additions and updates for Promotion and Tenure content. Maintain Web pages and process documents working with Director of Faculty Affairs, Provost Office Director of Communication, and UAB Web Comm team.
  • Perform other duties as assigned.

(Annual Salary: $60,835 - $98,855)

Qualifications

Bachelor's degree in a related field and three (3) years of related experience in Higher Education Administration, Public Administration, Business Administration, or related field. Work experience may NOT substitute for education requirement.

Master's degree in a related field and one (1) year of related experience in Higher Education Administration, Public Administration, Business Administration, or related field preferred.

The successful candidate will have experience in Faculty or Academic Affairs at a 4-year college or university, experience with faculty reviews, promotion and tenure processes, 3-5 years of relevant experience is required. Higher education administration experience, preferably in a Provost Office, Faculty Affairs, or large academic unit. Platform or cloud-based system implementation, working with policies in academic/higher education environment. Experience working with faculty related policies, writing procedures and process documents, project management/project leadership. Demonstrated expertise in higher education administration with strong communication, presentation, and collaboration skills. Ability to work independently, manage confidential information, and lead projects with a high degree of accuracy and organization. Proficient in cloud-based and enterprise software applications, including Microsoft Office Suite and SharePoint, with the technical aptitude to learn and apply emerging technologies, including AI tools. Strong analytical, problem-solving, and critical thinking skills, with extensive knowledge of academic affairs processes, including faculty appointments, promotion and tenure, post-tenure reviews, and annual faculty evaluations.
