Description

The University of Alabama at Birmingham (UAB) School of Nursing seeks a PROGRAM ADMINISTRATOR II to administer the logistical support for a University-wide program, which is often of a large and/or complex nature. May participate in developing program plans, objectives and directives. May supervise support staff. Acts as a communication liaison with outside resources. Plans and carries out special projects related to the success of the program. Responsible for adherence to program budget. May provide education and training to UAB community.
RESPONSIBILITIES:
1. Provides administrative support to the Department, Department Chair, Program Manager II, and other administrative support as needed and required to support the planning, implementation, and evaluation of departmental and SON activities.
2. May handle sensitive or specialized correspondence with faculty, students, administration, staff, and other constituents as needed.
3. Responsible for accurate input, maintenance, and management of appropriate databases and filing systems.
4. Works directly with other Chair support staff in planning, providing logistical and administrative support for projects and events as appropriate. Act as a resource to faculty, staff, students, and administrators to determine the general, financial, and administrative services required to plan and execute the mission of the department and SON.
5. Processes requisitions, purchase orders, and travel reimbursements for department, monitors budgets against monthly spreadsheets. Trains faculty regarding travel reimbursement process.
6. Manages the calendar and appointment schedules for the Chair of the Department.
7. May be responsible for taking minutes for Departmental meetings and other meetings as requested, records/transcribes as requested.
8. Participate and represent the department as needed in support role for internal, campus-wide, and external meetings when appropriate as directed. Provides project and report support.
9. Assists in orientation of new department faculty to School and Department processes as needed.
10. Assists with management of department equipment, supplies, and designated resource rooms.
11. Composes, types, updates, proofreads, and edits general correspondences, memos, grant materials, presentation materials, forms, and recurring reports. Types and monitors correspondence by email. May transcribe minutes as requested.
12. May run errands, fax, sort and distribute departmental mail, copy, scan and input materials for department.
13. May serve as backup for OAII or other individuals in departments within the School of Nursing.
14. Maintains current knowledge of departmental policies, procedures and regulations, and provides information and assistance as needed to facilitate the daily operations of the Chair office.
15. Ethical conduct is a fundamental expectation for every UAB community member. All employees must abide by the standards of behavior outlined in the UAB Enterprise Code of Conduct. 16. Receives, screens and routes calls for department. Greets visitors and directs them appropriately.
17. Performs other related duties as directed to support the missions of the School of Nursing.
(Hourly Rate: $18.35 - $29.80)

Qualifications

Bachelor's degree and one (1) year of related experience OR an equivalent combination of relevant education and/or experience required.
The work of this position will require database management skills, administrative experience, and demonstrated knowledge of UAB specific policies and procedures. The position requires the individual to have a very strong working knowledge of APA formatting, Microsoft Word, Excel, Access, PowerPoint and Oracle systems.
