Supervises employees and operations in a designed area. Responsible for employee training, auditing, product or service quality control, establishing productivity standards, performance issues, staffing, payroll and other matters associated with the productivity and operations of assigned area. Handles confidential information and issues. May have grant and budgetary responsibilities. Supervises the work of, but does not perform, the same duties as subordinate personnel. May have some administrative assistant duties and manage compliance/regulatory processes. May act as a liaison to leadership and/or as human resources officer for department.
This position provides administrative support to the Director, supervises employees, and oversees productivity standards, performance management, staffing, payroll, and other operational matters within Adolescent Medicine. The role requires experience with grants, budgeting, and financial management. Responsibilities also include managing clinical schedules, coordinating calendars and travel arrangements, and processing faculty reimbursements. Strong organizational skills, financial acumen, and an excellent work ethic are essential.
Duties/Responsibilities:
- Oversees the day-to-day performance of staff who support the faculty of Adolescent Medicine.
- Ensures the division remains compliant with standards set by the School of Medicine (SOM) and Department of Pediatrics (DOP).
- Disseminates information for and from the DOP as needed to faculty and staff of the division.
- Provides staff training, process improvements, and daily oversight of division efficiency.
- Interviews, hires, promotes, discharges, and disciplines subordinate personnel as needed and agreed upon by the Division Director and Pediatric HR.
- Completes payroll, FMLA, and requests for temporary employees as needed.
- Supports professional growth and development of staff.
- Assists and monitors grants within the division.
- Assists in developing budgets for various divisional grants.
- Reviews budgets and progress reports with the assigned PI.
- Provides assistance, understands, and organizes financial reports and other data related to the division received from Pediatrics Administration as well as internal reports created for the Director.
- Arranges travel for faculty candidates, including itineraries, reservations as needed, and travel expenses.
- Attends meetings with the Director, faculty, and staff as appropriate
Salary Range: $45,395 - $50,000
Qualifications
Bachelor's degree in a related field and one (1) year of related experience required. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
Knowledge, Skills, & Abilities: Must be self-motivated and must have good communication and interpersonal skills.
Preferred Skills:
- A minimum of two (2) years of previous supervisory experience.
- Experience in complex clerical duties.
- Experience in financial management and budgeting.
- Experience in data management.
- Experience with scheduling, and supervision.
- Excellent work ethic.
