Description
We are seeking an administrative professional to provide essential administrative and business support services for the Division Director and divisional leadership in Pulmonary, Allergy, and Critical Care Medicine, a large and complex division in the Department of Medicine. Experience in an administrative support role is preferred with an ability to thrive in a fast-paced environment requiring discretion, professionalism and efficiency. This self-motivated individual will serve as a key liaison for internal and external stakeholders, coordinating programmatic activities for the division as well as special projects at the direction of supervisor.
Duties & Responsibilities
Provides administrative support for the Division Director including heavy calendar interface, database/file management, coordination of divisional communication, and coordinating annual faculty evaluations.
At the direction of supervisor coordinate and plan all aspects of divisional events such as the Annual Lung Cancer Update, and the bi-annual Pulmonary Update Meeting, including booking venues and coordinating and maintaining sponsor and vendor contracts
Coordinates divisional meetings, including all aspects of CME when appropriate, to ensure compliance.
Drafts and prepares correspondence with minimal supervision at the request of the supervisor.
Coordinates programmatic functions and or/special projects for divisional leadership, such as promotion and tenure.
Provides administrative support for the divisional leadership team.
Serves as recruitment coordinator for faculty recruits including submitting reimbursement requests, making travel arrangements, and organizing and executing candidate visits.
Perform other duties as assigned.
Experience with Excel and Oracle is a plus
Hourly Pay Range: $18.35 - $23.85
Qualifications
Bachelor's degree in a related field and one (1) year of related experience required or an equivalent combination of relevant education and/or experience.
