Position Summary:
Under minimal supervision, coordinates administrative, personnel and logistical support for a defined department program(s), often of a large and/or complex nature. Carries out established program objectives and directives. Follows established guidelines or protocols. Determines the best approach to accomplish assignments. May participate in program planning and in setting program objectives. May supervise support staff. May act as a communication liaison and special events planner. Interfaces with outside resources such as volunteers, alumni, patients, other professionals in a defined field or with continuing education students. May be responsible for adherence to program budget and/or other fiscal duties. May assist with grant and contract preparation and submission. May handle data management.
Works collaboratively to support operational initiatives within the Records Office of the University of Alabama at Birmingham Marnix E. Heersink School of Medicine. Responsible for administratively managing the electronic academic records of medical students. Manages and disseminates routine communications to medical students regarding registration processes. Provides input in the development of program plans and objectives. Communicates with faculty, staff, and external UAB offices regarding pertinent changes to individual academic records. Implements operational policies and procedures, and ensures appropriate documentation is in place and accurate.
Key Duties/Responsibilities:
Manages documentation and tracks academic progress of UAB medical students using internal software and database(s); report and track student leaves of absence.
Performs data entry and reporting to national agencies/organizations for medical student status verification, including annual class promotions and graduation.
Reviews and distributes routine data reports related to grades and academic status to faculty, staff, and ancillary UAB offices.
Collaborates with Medical Education Information Systems (MEIS) to run annual student credentialing processes.
Creates communications about annual credentialing and registration processes for students.
Manages messaging and communication tools, including web site content, social media, email, and additional resources.
Assists with the management of visiting medical student verification and onboarding processes.
Performs other duties as assigned.
Hourly Range: $18.35 - $23.85
Qualifications
Bachelor's degree in a related field and one (1) year of related experience required. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
