Position Summary:
The UAB Department of Urology seeks a motivated Program Manager I who is ready to join a fast-paced growing department that values new ideas, innovation and advancement. Responsible for administratively managing a University department under the general direction of a functional Program Director or under the auspices of a Program Advising Committee and according to an established program plan. May participate in the development of program objectives and is responsible for achieving objectives within defined parameters set by University and/or department policies and procedures or technical principles. May require fiscal management of grants and other funds. May manage multiple programs. Requires the use of independent judgment to determine the best approach to accomplish objectives established in the program plan. May supervise staff as needed.
Key Duties and Responsibilities
- Support HR and financial operations for the department in collaboration with the Executive Administrator and Business HR Officers.
- Manage faculty and staff recruitment efforts by ensuring the interview process (eg. candidate's itineraries, travel arrangements, lodging, meals, etc.) reflect the department's growing reputation and best highlight UAB and Birmingham.
- Ensure new faculty and new staff experience a seamless onboarding process.
- Confirm HR documents are processed in a timely manner; manage faculty licensing/DEA renewals, reappointments and privileges; prepare promotion and tenure packets, key card and key requests.
- Ensure the department remains compliant with various institutional requirements (eg, flu shot compliance, etc)
- Process payment requests and requisitions in a timely manner.
- Manage travel pre-approval paperwork; and faculty and staff travel reimbursements.
- Support programmatic efforts that contribute to department expansion and innovation.
- Support philanthropic efforts through event planning, collaboration with the department's gift officer, Prepare Board of Trustee Endowment packets, etc.
- Create engaging activities in collaboration with the department's education team that align with advancement goals and mission objectives.
- Collaborate with UAB and UABHS marketing and communications departments to ensure department reputation and standing remains high.
- Develop innovative ways to promote growth and build reputation in the field.
- Support department operations through excellent administrative support.
- Manage space upkeep for the department's many locations; create an inviting environment for guests and department employees.
- Ensure quality standards are upheld through facilities/maintenance requests, ordering furniture, restocking supplies, etc.
- Operationalize new projects and drive change.
- Assist with basic administrative tasks such as calendar management.
- Perform other duties as assigned
Salary Range: $43,890 - $65,000
Qualifications
Bachelor's degree in a related field and two (2) years of related experience required. Work experience may NOT substitute for education requirement.
Preferred:
- Experience as a Program Coordinator, Business or Financial Officer, work in clinical administrative settings, or HR would be ideal.
