Executive Assistant – Temporary

UAB Temp Services is seeking a highly organized, proactive, and experienced Executive Assistant to provide high-level administrative and operational support to executive leadership. This is a short-term temporary assignment requiring an individual who thrives in a high-volume, fast-paced environment and can anticipate needs, manage competing priorities, and exercise sound judgment with minimal direction.

Pay Rate: $20.00/hour
Schedule: Monday–Friday
Proposed Hours: 7:30 a.m.–4:00 p.m.
Assignment: Short-Term Temporary

Position Summary

The Executive Assistant will provide comprehensive support to an executive in a demanding and highly visible environment. The successful candidate must be able to remain several steps ahead of the executive by proactively managing schedules, meetings, deadlines, communications, presentations, travel, and special events.

This position requires exceptional professionalism, discretion, emotional intelligence, technological proficiency, and the ability to make appropriate decisions independently. The Executive Assistant must be comfortable protecting the executive's time, managing competing requests, and adjusting priorities throughout the day.

Key Responsibilities
- Proactively manage a complex executive calendar, meetings, appointments, and competing priorities.
- Anticipate the executive's needs and remain several steps ahead of upcoming meetings, deadlines, and commitments.
- Learn and manage the executive's scheduling preferences, work style, and priorities.
- Protect the executive's calendar and appropriately screen, redirect, or prioritize meeting requests, calls, and visitors.
- Monitor deadlines and proactively follow up on outstanding assignments and action items.
- Manage a high-volume workflow while maintaining accuracy and professionalism under pressure.
- Independently create and develop professional PowerPoint presentations, including advanced formatting, visual design, and presentation organization.
- Draft and proofread correspondence, presentations, meeting materials, and other documents with exceptional attention to grammar, spelling, and detail.
- Troubleshoot routine technology issues involving computers, phones, presentations, and other office technology.
- Coordinate executive travel, including airline reservations, itineraries, accommodations, and related arrangements.
- Plan and coordinate meetings, special events, and executive functions, including logistics, food, décor, materials, and vendor coordination.
- Travel locally as needed to pick up food, décor, supplies, or other materials for meetings and events.
- Handle sensitive or challenging situations professionally and exercise appropriate discretion and confidentiality.
- Work collaboratively with team members and demonstrate professionalism and leadership by example.

Qualifications

Bachelor's degree in a related field and three (3) years of related experience required. Or an equivalent
combination of relevant education and/or experience. Knowledge of medical terminology may be
preferred in some areas.
