Description
The Program Manager I position provides administrative, operational, and compliance support for the Medical Scientist Training Program (MSTP), an NIH-funded dual-degree MD/PhD program. This position is responsible for ensuring the effective daily functioning of program activities in accordance with university policies, federal guidelines, and MSTP training grant requirements. The Program Manager I supports key components of the trainee lifecycle, including recruitment, admissions processes, academic and research training coordination, trainee data management, and alumni engagement while maintaining accurate documentation and facilitating communication across faculty, trainees, and administrative units. The role contributes to the overall efficiency, compliance, and continuous improvement of the MSTP by coordinating essential program operations, supporting institutional reporting obligations, and assisting program leadership in executing the strategic goals of the training program.
Responsible for administratively managing a University department under the general direction of a functional Program Director or under the auspices of a Program Advising Committee and according to an established program plan. May participate in the development of program objectives and is responsible for achieving objectives within defined parameters set by University and/or department policies and procedures or technical principles. May require fiscal management of grants and other funds. May manage multiple programs. Requires the use of independent judgment to determine the best approach to accomplish objectives established in the program plan. May supervise staff as needed.
Duties and Responsibilities:
• Manage daily operations of assigned program or department and ensure adherence to university and departmental policies.
• Design and implement a student data tracking system using RedCap software to collect and manage program data for grant compliance, institutional reporting, and strategic program development.
• Build out and maintain MSTP alumni network.
• Coordinate applicant communications and interview scheduling within designated application system
• Assist with applicant engagement and applicant visit planning.
• Process tuition payments and student reimbursements
• Assist with onboarding and data changes for new and current trainees.
• Support student registration and catalog updates
• Assist faculty with appointment process and training logistics.
• Assist with planning and logistics for program-related events (e.g., student orientations, recruitment days).
• Ensure adherence to university policies and accreditation standards for program activities.
• Prepare routine reports on trainee progress, program metrics, and operational activities for internal stakeholders.
• Maintain accurate records of student files, program documentation, and departmental correspondence.
• Serve as a point of contact between trainees, faculty, and administrative offices to resolve routine issues.
• Perform other duties as assigned
Salary Range : $43,890 - $71,320
Qualifications
Bachelor's degree in a related field and two (2) years of related experience required. Work experience may NOT substitute for education requirement.
Preferred Skills & Knowledge:
• Data management using REDCap and Microsoft Excel, Microsoft Office, Adobe, Zoom, Qualtrics, and UAB Applications (including but not limited to Oracle, OnBase, etc.)
