Description
Position Summary:
The Program Coordinator II is responsible for managing all aspects of the Heersink School of Medicine's Clinical and Research Undergraduate Summer Programs (CRUSP), from initial planning to the implementation of mandatory HSOM policies. This includes tasks ranging from application processing and dissemination to onboarding students and coordinating program-specific timetables. Additionally, this role includes end-to-end oversight of the Poster Printing Service Center, an essential facility used by faculty, students, and external collaborators. Responsibilities in this area include processing invoices and submitting general ledger entries to ensure operations are both transparent and efficient.
Under minimal supervision, coordinates administrative, personnel and logistical support for a defined department program (s), often of a large and/or complex nature. Carries out established program objectives and directives. Follows established guidelines or protocols. Determines the best approach to accomplish assignments. May participate in program planning and in setting program objectives. May supervise support staff. May act as a communication liaison and special events planner. Interfaces with outside resources such as volunteers, alumni, patients, other professionals in a defined field or with continuing education students. May be responsible for adherence to program budget and/or other fiscal duties. May assist with grant and contract preparation and submission. May handle data management.
Key Duties and Responsibilities
- Planning and execution of Heersink SOM's Clinical and Research Undergraduate Summer Programs, including application collection, dissemination, onboarding, and scheduling
- Assist with data collection, analysis, and preparation for internal and external reports related to HSOM CRUSP
- Oversight of the Poster Printing Service Center, including the processing of invoices and journal entries
Knowledge, Skills and Abilities:
- Exceptional computer (Microsoft Office), written, and communication skills
- Must be able to interact with a variety of UAB staff, faculty, and senior-level administrators
- Must be able to multi-task to meet the requirements of a fast-paced and changing work environment
- Must have excellent problem-solving, conflict-resolution, and customer service skills
- Must be able to work autonomously as needed, or as part of a team
Salary Range: $18.35 - $29.80
Qualifications
Bachelor's degree in a related field and one (1) year of related experience required. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
