Description
The University of Alabama at Birmingham (UAB) is seeking an OFFICE ASSOCIATE II. This position will serve as a concierge for the Collat School of Business, welcoming visitors and assisting with scheduling and setup of student events. The successful candidate will perform essential administrative support for the Operations Manager and the staff in the Collat Welcome Center and the Collat Career Center.
RESPONSIBILITIES:
1. Provide Administrative support for the full-time staff members in the Collat Career Center and the Collat Welcome Center:
a. Oracle FN purchasing and payments, P-Card review
b. Scheduling rooms in scheduling software (EMS)
c. Support planning and approvals for and execution of career and welcome events, manage catering, organize materials, assist with event set-up and take-down
d. Adding and editing events on the Campus Calendar
e. Keep offices presentable and tidy
f. Order swag for student handouts at events
g. Answer department phone calls
h. Supervise student assistants
i. Coordinate meetings
j. Order supplies
2. Provide support to Operations/building Manager
a. Act as welcoming concierge to the building
b. Welcome visitors to the building and assist with wayfinding
c. Assist in preparing the building for events
d. Assist with managing storage spaces
3. Specific support for the Career Center
a. Keep student handshake accounts current and accurate
b. Assist business students with resume review and printing
c. Make sure students have all materials needed for interview process and career fair events
d. Direct any Collat visitors, students, faculty, and staff to personnel/ office locations
4. Specific support for the Welcome Center
a. Manage student traffic in office and for tutor lab.
b. Warmly welcome potential students and families / may provide building tours.
c. Perform other duties as assigned.
(Hourly Rate: $15.00 - $16.82)
Qualifications
High School diploma or GED and five (5) years of related experience required.
Soft skills: Outgoing personality, ability to greet public, is organized and energetic, has the ability to handle a variety of tasks in a fast-paced environment, and work with multigenerational work force. Able to communicate effectively and work as part of a team.
Important technical skills: knowledge of Oracle Financial Systems, Microsoft Office products, and able to become proficient with the room scheduling software EMS. Able to upload and edit events on the UAB Campus Calendar. Actual hours will be determined by supervisor.
