Description
Under general supervision and according to established policies, procedures and in compliance with federal and state laws, to perform applicant screening, and employment-related processes. To perform onboarding and support responsibilities as delegated by Talent Acquisition Leadership to assist with efforts in recruitment, onboarding, and hiring according to established procedures and policies. To maintain confidential records associated with the employment process. To assist new hires and current employees through the onboarding process related to scheduling pre-hire appointments and on-site orientation needs.
Key Duties & Responsibilities
Complete a variety of duties with Pre-Hire and Onboarding process for new hires:
- Complete a variety of duties with Pre-Hire and Onboarding process for new hires.
- Assist applicants with on-line application and questions as needed.
- Schedules New Hires for new hire meeting and Employee Health visit.
- Assist hires with necessary paperwork in the Onboarding process.
- Assist new hires as needed with onboarding questions such as resetting passwords.
- Assist with I-9 process.
- Assist with badging process.
- Review of clearance for background screening and Employee Health visit.
Complete a variety of duties with hire paperwork for new hires and transfers:
- Review new hire paperwork for accuracy and submit for processing.
- Submit competency related documents to Imaging/Records.
- Submit sign-on bonuses for processing and payout(s).
- Submit license/certifications into appropriate databases.
- Maintain orientation spreadsheets and email communication to new hires, transfers and internal UAB Medicine employees.
- Ensures post-hire documents are in approved status in Oracle to ensure new hire is in complete status prior to payroll deadlines.
- Maintains Talent Acquisition email box by answering and directing questions as appropriate.
Complete administrative tasks related to candidate onboarding to facilitate a smooth operation of the department for staff and hires:
- Assign requisitions within the recruitment system to the appropriate recruiter.
- Maintain pre-hire updates on recruiter applicant tracking system.
- Monitor background check status and Employee Health clearance for recruiter review.
- Answer questions concerning departmental issues from visitors or telephone calls when appropriate.
- Perform general office and administrative tasks, responsible for maintenance of confidential files.
- Maintain office supplies, equipment, and forms inventory.
- Process invoices for payment including travel reimbursement.
- Assist with recruitment event scheduling as directed by Leadership.
Performs other duties as assigned.
Qualifications
Bachelor’s degree in Human Resources, Business, or related field and two (2) years of related experience (i.e., employment/recruitment including experience in interviewing/screening applicants, etc.) required. Work experience may substitute for education requirement. Bachelor's degree in Human Resources, Business, or related field preferred. Previous experience working in Human Resources in a healthcare or higher education recruitment setting or healthcare leadership experience preferred.
