EXECUTIVE ASSISTANT I

University of Alabama at Birmingham

The Department of Cell, Developmental, and Integrative Biology is seeking applications for Executive Assistant I. This position will report to and be responsible for supporting the administrative needs of the Department Chair and the Office of the Chair.

While this is not a comprehensive list, the successful candidate will be expected to perform such job duties as:

  • Manage chair's calendar and schedule meetings
  • Assist the chair with professional correspondence
  • Oversee the scheduling of annual review meetings with all CDIB faculty
  • Manage the HSOM Promotion and Tenure process
  • Provide administrative assistance to department Vice Chairs and Executive Council
  • Manage chair travel and reimbursements
  • Serve as event coordinator of the CDIB Bi-weekly Seminar Series
  • Faculty recruitment coordinator (planning and coordinate visits).

Key Roles & Responsibilities

  • Under minimal supervision, provides diverse, complex and often confidential administrative and support services to an executive.
  • Work requires independent judgment and initiative on assignments that are sensitive in nature and demonstrated ability to deal with high level contacts inside and outside the institution.
  • May perform special assignments such as researching information, compiling reports and summarizing incoming correspondence and publications.
  • May handle human resources-related duties, general office management and supervise support staff.
  • May coordinate special projects.
  • Requires knowledge of organization policy and procedure and a high level of technical skill.
  • May monitor financial, budgetary and personnel processes.
  • May be responsible for event planning.

Soft skills: Emotional Intelligence, organizational skills, professional discretion, multitasking Okay to see candidates who meet minimum qualifications.

Salary Range: $47,665 - $77,455

Qualifications

Education

  • Bachelor's degree in a related field
  • And two (2) years of related experience required.
  • OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
