Student Ministry Administrative Assistant - Grants Mill Campus
To provide administrative, efficient, and comprehensive support to the Student Ministry team, ensuring smooth operations, effective communication, and relational connections that empower the ministry to reach, disciple, and care for students and families.
Experience and Knowledge Required
● Minimum of one year in an administrative or support role (ministry or student environment preferred)
● Effective time management and organizational skills
● Ability to multitask and problem-solve in a fast-paced environment
● Excellent verbal, written, and interpersonal communication skills
● Relational skills to connect with students, parents, and volunteers in a caring and professional manner
● Proficiency in Microsoft Word, Excel, Outlook, and other communication platforms
● Familiarity with church management systems (e.g., Planning Center/Rock) preferred
● Experience representing Church of the Highlands in a professional and Christ-honoring manner
Essential Functions and Responsibilities
Administrative Support
● Manage meetings and prepare agendas for the Student Ministry team
● Receive and appropriately direct incoming calls, messages, and emails
● Prepare and maintain reports for Campus Pastor as needed
● Manage purchase orders, check requests, budget, and ordering of ministry supplies
● Ensure timely response to communication (within 24 hours)
● Assist with logistics and support for youth services, retreats, camps, and conferences
● Collaborate with the events department during large-scale student events
● Effectively use Microsoft Office, Outlook, and Planning Center to organize and accomplish tasks
Relational & Ministry Support
● Assist with Dream Team onboarding: background checks, application tracking, and scheduling for training
● Build relationships with small group leaders, Dream Team members, and student leaders to encourage and support them in their roles
● Coordinate leader care initiatives (birthday/anniversary cards, appreciation events, etc.)
● Assist the Student Ministry team in cultivating a healthy team culture among the team, interns, and volunteers
● Oversee student internships
● Provide day-to-day administrative and relational support to Student Ministry team
● Assist with scheduling and maintaining calendars for team meetings, trainings, and events
● Execute additional responsibilities and projects as assigned by the Student Ministry leadership
Motion Night
● Strategically promote MOTION within the campus using mediums such as Sunday mornings, social media, and any other means necessary to meet goals for attendance
● Oversee the process of Motion Night from beginning to end at your campus, including but not limited to design, set up, teams, facilities, etc.
● Ensure that teams stay healthy and the resourcing and support of your campus is effective by the central students' team
Other Duties and Responsibilities
● Availability for hosting services, hosting guest pastors, and leading motion network operations as needed, as directed by your Campus Pastor and the central students team
● Be available to and help lead MOTION Conference, retreats, and mission efforts for your campus, as directed by the central student team
