Responsibilities

The Project & Field Operations Assistant provides comprehensive administrative, operational, and project-related support to ensure smooth execution of construction projects and daily office functions. This hybrid role bridges field and office operations by supporting project teams, coordinating jobsite logistics, managing administrative processes, and delivering excellent customer service. The position plays a key part in upholding Brasfield & Gorrie’s professional standards across projects and office environments.

Responsibilities and Essential Duties include the following (other duties may be assigned):

  • Provide day-to-day administrative support to project management and field teams, including document handling, meeting coordination, and correspondence.
  • Maintain project files, logs, and systems (e.g., PDM, JD Edwards, Egnyte) to support project documentation, submittals, RFIs, and closeouts.
  • Coordinate project mobilization requirements such as insurance, permits, licenses, and jobsite resources.
  • Manage contract and purchase order documentation through project management platforms and DocuSign.
  • Assist with vendor and subcontractor management, including licenses, safety documentation, and payment applications.
  • Support office operations by managing phones, mail, supplies, deliveries, and maintaining a clean and welcoming office environment.
  • Coordinate travel arrangements, meeting logistics, and company events for project and office needs.
  • Process payroll, expense reports, invoices, and time entries across systems like Concur, OnBase, and JD Edwards.
  • Assist with employee onboarding tasks, system access, and benefits coordination for project and office staff.

Qualifications

Education - Skills - Knowledge - Qualifications & Experience

  • Bachelor’s degree preferred
  • Minimum of one year of experience in an office or project support role
  • Proficiency in Microsoft Office Suite; familiarity with Bluebeam and project management software preferred
  • Strong organizational, multitasking, and communication skills
  • Detail-oriented with a high level of confidentiality and professionalism
  • Self-starter who can thrive in a fast-paced, team-oriented environment
  • Ability to coordinate across departments and communicate with a wide range of internal and external stakeholders
  • Notary certification (or willingness to obtain)
  • Travel may be required (less than 10%)
